Contact Manager Database

This Contact Management Solution was built on a Filemaker Pro Ver 6 Platform making it suitable for Windows, Mac and Linux Operating Systems. We have since developed other Filemaker based systems operating on Filemaker 7 and are currently developing a system for Filemaker 8.

This featured solution was designed as a multi-user system for SME's and will have no difficulty operating with up to 250 simultaneous users if Filemaker Server is in use. We can also supply in a runtime environment to be used by single user.

Contact Manager is also the core to a Financial Management system and Human Resources system each of which can be tailored to met the specific needs of the end user.

  • Financial Manager enables asset Management, Job Costing, Quotations, Invoicing, Purchase Orders, Stock control etc.
  • Human Resources enables Employee Management, Time Management, Work Delegation, Expenses Control, and Event Planning.

The primary advantage offered by our Contact Manager is the ability to track changes in your contacts positions. This is very useful if you have contacts who are in transient employment on contract workers or if you deal with companies who move staff between departments from time to time.

You can search for a Person or Company. Person will find all names matching the entry criteria using part or whole name. e.g. "bri" is all you need enter to find all Brian's or any surname such as Brighton. Similarly a few characters of a name entered into company will find all matching companies. When a company is selected you can find all employees, branches, or positions held within that company.

Once an individual is selected you can view or edit the data held which is split into useful categories and accessed by clicking the appropriate tab.

In the layout to the left here if you click the Icon beside a phone numbers fax or email a new Communication Record will be created.

Information of a personal nature such as the contacts hobbies and interests are always viewable regardless of which past company you are viewing them through.

Contacts who are contract workers may represent many potential companies at any time. Or there may be a need to look up a persons past job function, so the system facilitates many posts and each can be selected at the click of an icon.

Should a person change job a new post can be created, either with their existing company of with another company and their existing post can be closed by entering a leaving date or left open if both jobs are current.

 

All past communications with a contact can be viewed and filtered to see all with that person regardless of the post, all with the person at the selected company or all with the person at a specific job with a specific company.

When a new communication is being created it can be saved as Temporary so the the author can return to complete later. The top record marked TEMP in the image opposite highlights this. Once the communication has been sent, to print, via email or fax it is locked from further editing but can always be viewed or resent via any communication method. e.g. If you click the Icon beside a phone number the number will be autodialed providing the PC is fitted with a modem and suitable headset so that the user can record who said what during a conversation. This transcript can later be emailed, faxed or sent in a letter to the contact.

In this letter example (left) the user can elect to change the recipients address by clicking an alternative from the list of all available addresses be they at Home or Work.
