Property Manager Database

Property Manager is a solution for Residential Letting Agents. The first version was produced by Brian Watson back in 1987 using Ability Plus. The following year Ver 2 came alone developed in Dbase and WordPerfect but it was not until Peter Christy started to work with Brian on the project and a decision was made to change platform to one based around Filemaker Pro 2 that the programme began to become truly useful. This was known as Ver 3 but was effectively the first real product.

By 1993 a robust database solution had been created using Filemaker. This solution was capable of storing details relating to tenants, landlords, properties and all information connecting the three i.e. a missive of lease. At that time many property agencies used Mac's to compile adverts and brochures but PC's were the dominant word processor that is why Filemaker was chosen as it was truly cross platform. Further improvements occurred with the development of Filemakers first relational database Filemaker Pro 3 giving rise to versions 4 and 5 of our Property Manager.

Filemaker Pro4 perfected the "Web Companion" a tool which enabled web output using CDML without the need of any HTML programming. This necessitated further improvements to maximise the benefits of this added feature. The next change occurred because of legal changes affecting rented accommodation which say new legislation relating to Fire and Furnishings, Gas and Electrical safety, so, by the time Filemaker 5 came out we were developing version 7 of our database. This remains to this day although as it is now over 5 years old we think its time for a makeover and that is why we Peter and Brian built version 8 for Filemaker 7.

Version 8.1 will continue to use the Filemaker platform (now Pro 8), shall be capable of running on Windows, Linux and Mac platforms and will be offered in three distinctive solutions.

  1. Stand alone - a single user run time environment solution.

  2. Multi-user - Ideal for pier to pier networks with up to 6 users.

  3. Multi-user/Server - A full scale version permitting up to 250 simultaneous guests at a time.

Some of the main features of version 7.2 are summarised below and all images displayed relate to Version 7.2.

The system stores Account information relating to Landlords, Tenants and Contractors.

Fees due and earned by the Agent

Property Management utilities, inventory and pictures.

Address information relating to all contacts and properties including multiple addresses per person. i.e. a Tenant had an address before they took up the tenancy (past address), they may be temporarily absent from home (permanent address), the address the live at (current address) and when they leave you will require information about where they are going (forwarding address). Many other options are possible.

The Lease section holds all data relating to the contract including rent receipts from tenant and payments made to the landlord and any contractors who have worked on the property.
